Read for the visitor’s goal.

Start with the question that brought the person to your website. Separate their stated goal from the assumptions your team might make about their company. The first meeting should continue that discussion, not restart a generic qualification script.

Write a short preparation note.

Capture the goal, the relevant product or service, any stated timeline, and the question that still needs an answer. Include the conversation reference. If an AI summary is available, verify its important claims against the original messages before relying on it.

Check the booking details.

Confirm the time zone, event type and attendee information in your scheduling provider. Read any cancellation or rescheduling updates. Treat availability shown in a chat as a live proposal, not as a confirmed appointment until the booking has completed.
