Group questions by the decision behind them.

A pricing question, an integration question and a delivery question may all be ways of asking whether the product fits. Read beyond keywords. Group a manageable sample by the decision the visitor was trying to make, and preserve examples of the original wording.

Find where the answer should live.

Some answers belong in the knowledge base, some on a product page and some in a human conversation. A frequently asked question is not automatically a reason to add more automation. It may be a sign that an existing page is incomplete or hard to understand.

Update and test the source.

Ask the responsible team to approve a clear answer. Publish it and retry the original question, plus a few variations. Check that the answer remains accurate when the visitor leaves out context or asks about a different plan.

Look for a useful outcome.

Review whether visitors found an answer, reached the right person or booked an appropriate next step. Keep unresolved questions visible. Do not optimize only for the number of conversations if the quality of the answer or handoff is getting worse.
